What the tracker records

Use one row per order to keep your sales and variable costs in one place. The template includes order date, order ID, sales channel, SKU, quantity, item revenue, shipping collected, discounts, refunds, sales tax, product cost, inbound freight, packaging, fulfilment, marketplace fees, payment fees, advertising and other return-related costs.

Automatic calculations

The CSV includes starter formulas for net sales, contribution profit and contribution margin. Net sales are calculated as item revenue plus shipping collected, less discounts and refunds. Enter those four amounts excluding sales tax. Record sales tax collected separately for reconciliation; it is not included in the net sales formula. Contribution profit subtracts the listed variable costs from net sales. Contribution margin is contribution profit divided by net sales.

How to use it

  1. Download the CSV file and open it in Excel or import it into Google Sheets.
  2. Enter one order per row, using the same currency throughout a sheet. Enter item revenue, shipping collected, discounts and refunds excluding sales tax; record sales tax collected separately.
  3. Enter fees and costs from your actual marketplace statements and supplier records.
  4. Copy the formulas in the first data row down for additional orders if your spreadsheet app does not automatically fill them.
  5. Compare the results with marketplace payouts and bank deposits regularly.

Important accounting notes

Keep sales tax collected for a tax authority separate from business revenue. Do not include sales tax in item revenue, shipping, discounts or refunds. Do not enter the same cost twice. Allocate shared inbound freight consistently. This template estimates contribution after the costs entered; it does not automatically include fixed overhead, income taxes, inventory accounting adjustments or every possible refund and fee treatment.
