Actual bank payout

Reconciliation scope: sales tax is entered only when it was withheld from this payout. Platform-collected tax remitted outside the seller settlement should not be deducted again.

How payout reconciliation works

This tool builds a simple settlement bridge from order activity to the payout. It is designed for one statement period, not a lifetime account balance.

Expected payout = item sales + shipping collected − seller discounts − refunds − tax withheld − fees − advertising − shipping labels − other deductions + credits.

Payout difference = actual payout − expected payout. A positive difference means the bank or statement payout is higher than the amount explained by the entered components. A negative difference means it is lower.

Worked example

Suppose item sales are $2,500, shipping collected is $120, seller discounts are $100 and refunds are $80. Net sales before tax are $2,440. After $175 tax withheld, $300 marketplace fees, $60 payment fees, $90 advertising, $75 shipping labels and $25 other deductions, then adding $15 in credits, expected payout is $1,730. Compare that with the actual statement payout.

How to investigate a difference

  • Confirm the statement start and end dates and settlement currency.
  • Check whether refunds, chargebacks, reserves or prior-period adjustments were posted in this settlement.
  • Confirm whether sales tax was withheld from the payout or remitted separately.
  • Check whether advertising and shipping labels are already included in marketplace fee totals.
  • Match each adjustment to the marketplace transaction or settlement reference before changing your books.

Important limitations

Marketplaces use different settlement structures. This independent calculator does not import transactions, determine accounting treatment, reconcile foreign exchange, or infer reserve release timing. Use statement-level totals from the same period and avoid double-counting components.

For order-level profitability, use the Free Order Profit Tracker. For a consistent cost model, read How to Reconcile Marketplace Payouts and True Cost per Order.

Margenao provides an independent estimate, not an official marketplace statement or accounting advice. Verify totals against your seller account and bank records.
